This policy explains what MedixoRx collects and why, in plain language wherever possible. MedixoRx is offline-first — the vast majority of your billing, inventory and customer data lives only on your own computer and is never sent anywhere unless you choose to back it up or use an online feature like Scan with AI.

1. Scope

This Privacy Policy applies to the MedixoRx desktop application (Windows and Linux), the MedixoRx admin console, the medixorx.in website, and any related services (collectively, the "Service"), operated by the MedixoRx team ("MedixoRx", "we", "us"). It applies to pharmacy owners, staff who use the Service ("you", "your store"), and visitors to our website.

2. What we collect

Account & subscription information

Business data you enter into the app

This includes medicines, batches, suppliers, bills, customer returns, and — where you record it — patient name, doctor name and prescription number for Schedule H/H1 sales. This data is stored locally on your computer by default.

Cloud backup & sync data

If your app is online, it periodically syncs a copy of the above business data to our cloud database, encrypted in transit, so it can be restored if your computer is lost, damaged, or replaced. Sync also updates your subscription's "last seen online" status and records the app version and operating system you're running, for support purposes.

Scan with AI

If you use the optional Scan with AI feature, the invoice photo or PDF you upload is sent to our cloud service and to our AI provider (OpenAI) to extract the supplier and line-item details. We record how many scans your store has used against your monthly plan limit, and basic metadata (item count, file type, timestamp) — not the invoice image itself is retained by us beyond what's needed to service the request.

Website visitors

If you visit medixorx.in, we use a Meta (Facebook) Pixel to measure ad performance and a live chat widget (Tawk.to) if you choose to chat with us — see Cookies below. If you submit our demo request form, we collect your name, phone number, pharmacy name, city and current software, and use it to contact you on WhatsApp.

3. How we use it

We do not sell your data, and we do not use your pharmacy's business data (bills, patient names, inventory) for advertising.

4. Storage & security

Your day-to-day billing and inventory data is stored in a local database on your own computer — it is never uploaded anywhere unless cloud backup or sync is active and your computer is online. Cloud backups and account data are stored on servers we operate, protected by encryption in transit (HTTPS) and access controls. No method of storage or transmission is 100% secure, but we take reasonable technical and organizational measures appropriate to the sensitivity of the data.

5. Third-party service providers

We share limited data with the following service providers, only as needed to run the Service:

These providers are contractually or by policy restricted from using your data for their own purposes beyond providing the service to us.

6. Retention

Local data on your computer is retained for as long as you keep it there — MedixoRx never deletes it remotely. Cloud backups and account records are retained for the life of your subscription and for a reasonable period after cancellation, in case you wish to reactivate or need a final export, after which they are deleted or anonymised. Website chat and form-submission data is retained only as long as needed to respond to your enquiry.

8. Your customers' data

When you enter a customer's name, a patient's details for a Schedule H/H1 sale, or a doctor's name into MedixoRx, your pharmacy is the data controller for that information under applicable law — MedixoRx acts only as the software/processor you use to record it, in the same way a paper register or a generic billing tool would. You are responsible for obtaining any consent your local law requires from your own customers, and for responding to any request they make to you about their data.

9. Cookies & website tracking

Our website (medixorx.in) uses cookies/local storage set by the Meta Pixel (ad measurement) and Tawk.to (chat widget) described above. These are third-party scripts with their own privacy policies. You can block them using your browser's cookie/tracking-protection settings; doing so will disable the live chat widget but will not affect the MedixoRx desktop application, which does not use website cookies.

10. Children's privacy

MedixoRx is business software intended for pharmacy owners and staff, and is not directed at or knowingly used by children. We do not knowingly collect personal data from children.

11. Changes to this policy

We may update this policy as the Service changes. We'll update the "Last updated" date above, and for material changes we'll make reasonable efforts to notify active subscribers directly (e.g. via the app or email).
